FILMCO is currently seeking to employ a part-time Administrative and Project Assistant. Administrative and Project Assistant
Employment Position type: Part time position 24 hrs, 3 days a week (8 hrs per day)
Duration: 03 June 2019 to 30 October 2019 (in the first instance)
Scope of Duties
The Programme Assistant will be responsible for providing support for 3 core areas of FILMCO: Administration, Communication + Promotion (internal, external) and Programme facilitation. The Programme Assistant will report to the Executive Director and will assist where necessary to accomplish the organisation’s programmes.
- PROGRAMME ASSISTANT DUTIES & RESPONSIBILITIES
Office
Create and maintain work tools for office (databases, contact lists etc.))
Carry out Research for presentations, Fundraising & Grant opportunities
Prepare documentation for Board signatures, FILMCO partners
Maintain effective filing system (manual & digital)
Manage office supplies and inventory
Administration & Finance
Manage Accounting tools (receipts, reimbursement forms, invoices, statements)
Carry out Bank Deposits
Request invoices
Weekly updates general ledger and petty cash log
Communication
Ensure timely communication – internal/ external – for the organisation (telephone, email) on a daily basis (Team, Board of Directors, service providers)
Membership: Carry out communication with FILMCO members, potential members and all members of the Film/ Creative community
Manage FILMCO membership database (regular updates, follow up calls/ emails)
Promotion & Outreach
Assist with event planning (organise logistics for FILMCO Workshops, conferences, social events)
Update mailing list (digital mailers: mailchimp )
Social Media Management: assist with implementing FILMCO social media strategy alongside ED.
- QUALIFICATIONS & EXPERIENCE
A love of films and knowledge of the local film/ television scene is not essential but would be an asset
Some event planning experience is also not essential but would be an asset
1-2 years of professional and/ or Internship experience in an office environment/ preferably with a small organisation
Basic knowledge of one or more of the foreign language-s: SP, FR not mandatory but an asset - SKILL SET
Fully proficient in: G Suite and Microsoft suite (Word processing, sheets, formulae, presentations)
Understanding and ability to effectively use Social media platforms (IG, FB, Twitter)
Comfortable working on an apple computer - Work Ethic
Good written and verbal communication skills
Able to conduct research independently
Proactive, organised, with a keen eye for details
Able to multitask under tight deadlines
Flexible and responsive - Interpersonal
Be a team player: problem solver, eager to learn, polite and a good sense of humour.
